The restaurant took orders mostly by phone, which created a bottleneck at peak hours and a rising cost of handling. Instead of handing sales to a third-party platform, we built an owned online ordering channel, fully controlled, with a custom delivery scheduling system.
The brief
Sales handled mostly by phone created a bottleneck at peak hours and a rising cost of handling. They needed a channel that takes orders on its own, around the clock, without tying up staff for every call.
Why an owned channel, not a third-party platform
The easy route would be listing the menu on an app like Glovo or Uber Eats. But that means a high commission on every order and handing customer data to the middleman. We chose an owned ordering system instead, so the restaurant keeps its full margin, builds its own customer base, and stays in full control of the whole process.
What I built
The sales channel runs on WooCommerce with Stripe payments, which gives the restaurant its own order and customer database and a familiar admin panel. The menu is managed as products editable from the admin, with dish options and variants. The ordering flow is mobile-first, with a minimum order value and delivery zones (Bydgoszcz and surroundings).
A custom delivery scheduling system
The heart of the project is a delivery scheduling module written from scratch, because no off-the-shelf plugin handled the logic the restaurant needed. In the cart the customer picks a specific delivery date and time, and the system enforces the real constraints of the kitchen:
- Lead-time window - orders placed in advance (72 hours by default), so the kitchen can prepare.
- Per-day order cap - automatic blocking of overflow once a given day is full.
- Weekend and excluded-date blocking - unavailable days and times, configured from the admin (ACF), without touching code.
- Delivery date in the order flow - the chosen slot is automatically attached to every order-related email, so staff immediately know what to cook and when.
Result
Online order value grew by over 150% in the first quarter. The restaurant has a stable revenue stream independent of staff availability on the phone, keeps its full margin (no middleman commission) and its customer data in its own database. All delivery logic is on its side and under its control.
